Privacy Policy

This Privacy Policy explains how 1Property Group LLC ("we", "us", "our"), operator of the 1Property platform (the "Service"), collects, uses, and protects personal information. The Service is offered in the United States only.

1. Our role: controller vs. service provider

1Property is a business-to-business platform. When a management company, association, or building (our "Customer") uses the Service, the Customer is the controller of the personal information of its residents, owners, staff, and guests. 1Property Group LLC acts as a service provider / processor, processing that information on the Customer's behalf and under its instructions. If you are a resident or staff member, please direct privacy requests to your management company first; we will support them in responding.

For our own websites, marketing, and account administration, 1Property Group LLC acts as the controller.

2. Information we collect

• Account information - name, email, phone, role, and building/unit association.
• Operational data - maintenance requests, packages, reservations, visitors, vehicles, keys, votes, surveys, time entries, and similar records created in the Service.
• Uploaded content - documents and photos you choose to upload.
• Usage & device data - log data, IP address, browser type, and pages viewed, used to operate and secure the Service.

3. How we use information

• To provide, maintain, secure, and improve the Service.
• To authenticate users and enforce role-based access and building (tenant) separation.
• To send service communications such as notifications, announcements, and password resets.
• To comply with legal obligations and enforce our terms.

We do not sell personal information, and we do not use resident data for advertising.

4. How we share information

We share personal information only: within your building/management organization according to role permissions; with subprocessors who host or support the Service under written confidentiality and data-protection obligations; and when required by law or to protect rights and safety.

5. Subprocessors

We use a limited set of vendors to run the Service, which may include cloud hosting, email delivery, and error/monitoring providers. A current list of subprocessors is available to Customers on request via privacy@1property.us.

6. Cookies

We use strictly necessary cookies for sign-in, security, and session management, and we store a small preference for light/dark appearance. We do not use third-party advertising cookies. See our Cookie Policy for details.

7. Data retention

We retain personal information for as long as the Customer's account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. On account termination, Customer Data is deleted or returned in accordance with the Customer's agreement.

8. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, encryption of sensitive credentials at rest, and role-based access controls. No method of transmission or storage is completely secure.

9. Your U.S. privacy rights

Depending on your state of residence (for example, California under the CCPA/CPRA, and similar laws in Virginia, Colorado, Connecticut, Utah, and other states), you may have the right to:

• Know and access the personal information we hold about you;
• Request correction of inaccurate information;
• Request deletion of your information;
• Opt out of any "sale" or "sharing" of personal information (we do not sell or share for cross-context behavioral advertising);
• Not receive discriminatory treatment for exercising these rights.

Because most data is controlled by your management company, we will forward or support requests accordingly. To exercise a right, contact privacy@1property.us. We will verify your identity before responding.

10. Children

The Service is not directed to children under 13, and we do not knowingly collect their personal information.

We may update this Policy from time to time; the "Last updated" date above reflects the latest version.
